Assistant and Operations Specialist
Description:
We’re looking for an absolute ace of a Virtual Assistant to join the team in handling the day to-day operations here at Escape From Emotional Eating, a company with a strong focus on client satisfaction.
The Assistant & Operations Specialist position within Escape From Emotional Eating is a unique hybrid between:
- Executing daily tasks,
- Supporting Jessica and her clients at a high level,
- Event planning, coordinating, and executing retreats,
- Operations and the foundation of the business are solid, and
- Being available to create, grow, brainstorm, and support the company vision.

This role is the perfect fit for someone who wants to work with a dynamic team and support some pretty brilliant entrepreneurs. You understand that not everything is exciting all the time... sometimes we just need to put our heads down and do the work, so our clients can get the highest value out of everything we create.

We’re looking for someone to grow with an incredible team of A-players, be a phenomenal assistant and operations specialist, and make sure that together as a team, we continue to make clients feel seen and heard! This position is more than just checking off tasks. We’re looking for someone who pays attention to detail, looks ahead to see what’s coming down the pike, has the ability for critical thinking, and makes sure all the I’s are dotted and the T’s are crossed.

- You have experience working with an online business. This isn’t your first rodeo (or second or third). You kick ass at what you do, and you get fired up by working with a visionary leader.
- You’re extremely detail-oriented, process-driven, and solutions-focused. You get stuff done ridiculously well. Have an eye for detail. You will be THE person in the company who will make sure that all I's are dotted and T's are crossed.
- You are consistently methodical about getting tasks done in a timely manner. If a beautifully structured Asana project and Dropbox folder feels like a brain massage for you, you’re our person.
- You have an expert (or above) level of experience with the following: Mac Computer, iWork Applications, 1Password, Gmail, Google Calendar, Asana, Acuity Scheduling, MightyNetworks, Authorize.net, and Dropbox, and are comfortable using all the above to complete tasks and onboard clients.
- You are Tech-savvy. You don’t need to be a technical expert, but you must be tech-savvy, maneuver your way around a computer efficiently, and be able to quickly learn how to use new tools and technologies. While we don’t expect you to know all of the tools we use, we do expect you to be comfortable with them and able to pick up the concepts on your own time and in a timely manner.
- Have an excellent intuitive sense of customer service and helping those in need of assistance makes you feel truly seen and heard.
- Aren’t afraid to make suggestions that could improve internal systems and spearhead experiments to test these ideas.
- Can keep your own schedule and task list, are a clear communicator, and can make your needs known.
- You’ve run events whether virtually or in person, and you LOVE to iron out every detail possible.
- Being proactive is your favorite, but you can also come up with solutions in real time.
- You definitely go against the status quo and do things that not only hit our goals but are sustainable and feel good.
- You acknowledge the importance of GO TIME and, equally, the importance of rest.

- You must have a MAC and be a master at using a MAC computer and accompanying iWork applications. If you use a PC with Windows or Linux, this position is NOT for you. If you plan to acquire a MAC in order to start this position, this position is NOT for you.
- For this position, you will need to be available generally 9-5pm EST M-F to complete tasks, attend the team meetings, and respond to client emails and scheduling. You will hold a joyful, professional, high-energy attitude of service in all interactions with vendors, other team members, prospects, clients, and any tasks being performed.
- Here at Escape From Emotional Eating, we strive to always provide a 5-star experience when dealing with potential clients or current clients. So, this position requires you to provide a 5-star experience when you are emailing, talking on the phone, or responding to a support question.
- This position will require you to manage time effectively so all consistent weekly, daily, and monthly tasks are being balanced with impromptu tasks such as new client onboarding and scheduling.
- Attend team meetings (to be scheduled together with other team members - recurring weekly) and take notes on changes, action steps, and deliverables. Our team meetings are an opportunity for us to share goals and objectives and to engage in upcoming tasks and projects. It is also one of the best ways for you to ask questions, share input, and be an active part of our team. Aim to attend all team meetings as per our agreed time and be sure to let us know if you aren’t able to attend.
- Prioritize time around our retreats (whether in person or virtual) understanding that this is one of the most important aspects of the business and the most transformational experience for our clients. Also understanding that the 2 months prior to the event and the month of the event will require more tasks and time than non-retreat months. You will be notified ahead of time when these are scheduled.

- Follow all Escape From Emotional Eating systems, processes, and templates in place and readily offer improvements where they can be made to support even more effectiveness and efficiency of service.
- It’s important to be consistent with how files in Dropbox and Emails are saved, reading the Operations Manual carefully, and not skipping steps. Keeping all tools organized.
- You’ll be a self-starter. First, check manuals, then use outside resources (google) to get something done, and then if you cannot figure it out, ask for support immediately when needed. Be able to log the learning received so the same ask does not need to be made again, including updating manuals.
- You are able to get things done. Projects will start, stop, and become delayed. It will be your role to ensure that they are accomplished on time in the face of this.
- Bring solutions, not problems: We ask that you think through the situation and come to us with a proposed solution (or solutions). Do not come to us with a problem in your area of expertise and expect us to solve it for you. That being said, if you are truly stumped we are here to support you in finding a solution.
- Take ownership and pride in your work.
- Always looking ahead and not waiting for reminder alerts to tell you what to do. Use the calendar and Asana for weekly tasks and to mark when complete. It will help to stay on track and complete tasks that need to get done.
- Manage time effectively so all consistent weekly, daily, and monthly tasks are being balanced with impromptu tasks such as New Member Onboarding etc. (Important to follow the steps given for “New Client Enrollment” process to ensure nothing is missed.)
- Confirm all received tasks with a “Got it! Will do!” comment or a “like” and to thoroughly track all tasks in motion until complete. Then report that the task has been completed with a “DONE!” and :).
- Follow and fulfill all team task requests thoroughly and by the requested due date. If you have agreed to a deadline, it is your responsibility to manage your workload and get the work done by that time. Take responsibility when you’re not able to complete something on time.
- Ensure that when you are Out Of The Office, all tasks during that time are thoroughly communicated and covered by other team members at least 14-30 days in advance.
- Be 100% accurate 98% of the time: You play an important role in the company and we rely on you bringing your best work to the table at all times. That being said, we don’t expect perfection and know that mistakes will be made from time to time. Don’t hide from your mistakes, rather look to correct them and explore how they could be avoided in the future.
- Being extremely detail-oriented, process-driven, and solutions-focused. You get stuff done, ridiculously well and have an eye for detail. You are THE person in the company who will make sure that all I's are dotted and T's are crossed.
- Track ongoing details and clearly communicate any pertinent information about members, tasks, systems, or any other necessary updates. You need strong written and verbal communication skills.
- Enjoy what you do, but do not be afraid of new challenges and be able to ‘learn on the fly.
- Have persistence and a “where there is a will there is a way” attitude to accomplish tasks.
- You don’t need to be a technical expert but you must be tech-savvy, maneuver your way around a computer efficiently, and be able to quickly learn how to use new tools and technologies. While we don’t expect you to know all of the tools we use, we do expect you to be comfortable with them and able to pick up the concepts on your own time and in a timely manner.
- You pick up the phone to call a prospect, client, or other team member instead of waiting, delaying, or hiding behind email.
- You are aware of subtleties in the environment at on-site events such as the temperature of the room and lunch setup and implement changes immediately.
- If you don’t have at least 2 years of experience working with online businesses as a Virtual Assistant, Operations Manager, Social Media Manager, or something similar.
- You are sensitive about direct communication or not willing to communicate directly.
- You need your hand held every step of the way.
- You are not able to look ahead for what’s coming down the pick or a self-starter.
- You are not resourceful and don’t know how to find solutions for questions using an outside source.
- You are not accountable for your own actions, tasks, and responsibilities.
- You don't take pride in your work.
- You hide behind email.
Now let’s talk about the good stuff:
- Our office is virtual… (with an occasional in-person retreat) which means you can wear yoga pants, pajamas, or a costume. Really the idea is that you can wear whatever you want. We only ask that you’re available and dressed appropriately for our team meetings and retreats.
- The work is fun, fresh, and dynamic. You will be working directly with our team and clients and helping us with a mix of projects to improve results.
- We’re not big on stress. So, while we do expect you to work efficiently and get things done, we focus on open communication and letting us know if you are overwhelmed. We’re not big on double-checking your work or having a bunch of back-and-forths just to get a task done.
- The hours are flexible + we support families. We require you to be available at certain times of the day, but we do not expect you to sit at your computer waiting for tasks or emails to pop up.
- You’ll have a ton of autonomy, we encourage your intrapreneurial drive. There will be lots of opportunities to bring your ideas to the table. We want you to take charge of your duties and get the results! We’re allergic to micromanaging….no really.
